We are based in Queensland, Australia, and handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988.

What we collect

We collect only what we need to run our programs and serve you.

Sensitive information

Coaching conversations can touch on health, wellbeing, emotions, relationships or beliefs. This is "sensitive information" under Australian privacy law.

We collect it only with your consent, which you give by choosing to share it with us. You never have to share it, and you can tell us at any time if you do not want something you shared kept in your notes or recordings.

How we use your information

We do not sell your personal information.

AI tools

We use AI services to help run our business: for example to draft and edit content, transcribe and summarise meetings, organise records and notes, and help with emails and admin. We use AI services from providers such as Anthropic, OpenAI and OpenRouter. Some of these services pass requests on to other model providers.

Your information may go through AI tools. Client information, including coaching notes and meeting transcripts, may be processed by AI tools for these business purposes.

Training. Where a provider lets us switch off use of our content to train its models, we switch it off. We review these settings every January and June, and whenever we add a new tool. Some providers do not offer this choice, and any provider may change its terms. We cannot control how a provider handles data, so we take reasonable steps rather than promise an outcome.

Accuracy. AI can make mistakes. We check AI-assisted work before we rely on it. If you think something we hold about you is wrong, ask us to correct it.

Your choices. You can ask us how we use AI with your information, ask a person to review anything AI-assisted, or ask us not to use an AI note-taker in your sessions. Email support@neurowisdomcoaching.com.

The current list of AI providers we use is available on request.

Recordings, replays and AI note-takers

We may record or transcribe calls, coaching sessions and group sessions. We use tools such as Zoom and Fathom, which can record, transcribe and create AI summaries.

Service providers we use

We share information with service providers who help us run our business, only as needed for their service. The main ones are:

We also use other service providers who help us run our business. Each handles information under its own privacy terms. Payment providers may use transaction details to detect fraud. The full current list is available on request.

Information sent overseas

Many of our providers are based outside Australia, so your information is likely to be stored or processed overseas. The likely countries are:

We choose established providers and take reasonable steps so they handle your information consistently with the Australian Privacy Principles.

Automated decisions

Some of our systems make decisions automatically, without a person checking each one:

To make these decisions they use your name, email address, the forms you have filled in, what you bought, and your payment and subscription status.

If you think one of these decisions is wrong, contact us and a person will review it.

Cookies and analytics

Our websites use cookies and similar tools:

Our websites do not yet show a cookie consent banner. We are adding one so you can accept or decline non-essential cookies (Meta Pixel and Google Analytics) when you first visit.

Until then, you can:

If you are in the European Union or the United Kingdom, your law requires your consent before non-essential cookies are used. Once the banner is live we will ask for that consent, and you can change your choice at any time. In the meantime, please use the options above to refuse these cookies. If you have questions, email support@neurowisdomcoaching.com.

Marketing emails

We send marketing emails only if you have signed up for them or bought from us. Every marketing email has an unsubscribe link. You can also email us to opt out. We will still send emails you need about something you bought.

Security and how long we keep it

We use established providers, limit access to the people who need it, and protect our accounts with secure sign-in. No system is perfectly secure. If a data breach is likely to cause you serious harm, we will tell you, and anyone else the law requires us to notify.

We keep your information while you are a client or subscriber and for as long as we need it afterwards for the purpose we collected it, or as the law requires (for example, tax records for at least five years). Then we delete or de-identify it.

Access and correction

You can ask for a copy of the personal information we hold about you, or ask us to correct it. Email support@neurowisdomcoaching.com. We will respond within 30 days. If we cannot give you access, we will explain why.

Complaints

If you have a question or concern about your privacy, email us at support@neurowisdomcoaching.com. We will respond within 30 days.

If you live outside Australia

We work with clients around the world and apply this policy to everyone. If you live in the European Union or the United Kingdom, data protection laws there may give you extra rights, such as asking us to delete your data, limit how we use it, or give you a copy in a portable form. We handle your information to provide the services you asked for, for our legitimate business interests, or with your consent (for example, for recordings), which you can withdraw at any time. You can also complain to your local data protection authority.

Changes to this policy

We review this policy every January and June, and when our tools change. We will post any update here with a new "Last updated" date.
